QAPx and DOCUTRACK Commercial Job Entry
QAP documentation of all commercial vehicle WAV pass-throughs and commercial vehicle WAV modifications is required starting July 1st 2025.
The scope of the QAP has since its inception been limited to ‘personal-use’ vehicle deliveries. All that changes on July 1st when QAP expands its scope to include commercial vehicle modifications and deliveries.
What does that mean for our dealers?
It means that beginning July 1st, a dealer will enter all job information for both personal-use and commercial deliveries. This includes all pass-throughs with no equipment installed.
Will the QAPx and DOCUTRACK software be updated to allow for commercial jobs?
Yes, both systems have been updated and will go-live and be ready to accept commercial jobs starting Tuesday July 1, 2025.
Is there anything different with entering commercial jobs in QAPx or DOCUTRACK?
Yes, here are the differences:
- When you start a new job you will have to select the radio button for the job type (personal use or commercial).
- For a commercial job, you will be required to put in the company name. The company name is the commercial entity buying the vehicle. We will keep the first and last name fields if you would like to enter your point of contact for the company.
- There is a new equipment category called “Commercial Equipment”. In the commercial equipment category, you will find equipment typical to commercial vehicle modifications. Note that any equipment common to personal use is still available and can be selected on commercial jobs, you don’t have to pick only from the commercial equipment category.
- Under the ‘Installation Specifics‘ section, we made two changes: we added ‘Bus‘ and ‘Cut Away‘ to the chassis type drop-down, and we added ‘in vehicle lift‘ and ‘under vehicle lift‘ to the ramp/lift type drop-down.
- There is a new “commercial vehicle delivery form”. Because commercial jobs will not have any primary driving equipment or driver information and have some different requirements for securement training and some other items, we have created a new form for you to use.
- In the “customer forms” section, we removed some of the forms used for personal use. All you will find available on a commercial delivery are (1) the new commercial delivery form, (2) the make inoperative form, and (3) the wiring diagram form.
- On the job ‘dashboard’ screen you will see a couple new columns, you will see the ‘company’ column that is used exclusively with commercial jobs, and you will see a column labeled “Pers/Com” where there is either a ‘P’ for personal-use, or a ‘C’ for commercial job type.
Everything else with job entry will be the same.
Some other important notes:
• You do NOT have to back fill or update any commercial jobs delivered prior to July 1, 2025.
• Commercial jobs use the same QAP label, so make sure you have enough to apply for all your commercial WAV deliveries.
• At this time, Commercial WAVs are NOT required to be posted on the NMEDA website, so the policy that exists for personal-use WAV conversions does not apply to any of your commercial WAVs delivered. That may change in the future, but the first step for commercial WAVs is to start to get them accounted for in QAPx/DT.
