QAPx Update
As a result of updates to the QAP Rules & Guidelines, changes were made to both the QAPx and Docutrack programs. Please see the bulletin that follows for information on these changes.
Note: The following is a summary of changes to QAPx. If you are a Docutrack user, please see the link at the bottom of this message for a video that outlines changes to the app.

The following are changes that will go live in QAPx on Monday February 13, 2023:
1. New QC Manual link and break out of Appendices
2. Changes to Vehicle Information
3. Added “Full Electric Vehicle” checkbox to Weight Analysis Tab
4. Improved efficiency for pass-through jobs
QC Manual Link:
You will no longer have to send your QC Manual into NMEDA for approval. The new ”universal” QC Manual can be used by all dealers and can always be accessed directly from the Quick Links header section in QAPx.
Breakout of Appendices:
With the QC Manual live in QAPx, we needed a way for you to update your Calibrated Tools and Product Listings (formerly QCM Appendices C & D). To do this, we created two separate forms, one for the Product List and one for the Calibrated Tools.
A template for each form has been added to “Location Information” under the My Account dropdown. To complete either list, select the form template icon to download the template in Word. Select the download to open the document, complete the form, save it, then upload the completed form in QAPx.
Question:
Do we have to upload these new forms now?
Answer:
No. Assuming the Calibrated Tools and Product Lists are current, just leave everything as-is. NMEDA and the auditors will pull your Tools list and your Product list from your existing QCM (that is now obsolete). Then, when you find you need to change one of the lists because of a new tool or a new product offering, open the new form, complete it, save it, and upload it. After you upload the forms, delete the obsolete QCM from the system.
With this new QC Manual and forms, we want to reiterate you will never have to send anything in to NMEDA for approval. All your updates are made by you directly in QAPx.
Changes to Vehicle Information:
After using QAPx for several months, we realized that it was important to tie the vehicle Mileage and Conversion Information directly to the job. This is especially true for warranty and cases when a client brings the same vehicle back for new work. In order to record the actual mileage and status of the vehicle for each time it leaves the shop, we moved both these items to the Installation Specifics box.
Please note, the information for both is still entered the same way as before; they are just in a new location. Both remain QAP required fields.
Change to Weight Analysis Tab:
If the vehicle is fully electric, battery only, there will be no fuel tank and you won’t need to enter fuel capacity. In these instances, you will select the “Is Battery Electric Vehicle” checkbox. This will allow the system to calculate weights without needing fuel capacity to be entered.
Please note, this does not apply to hybrid vehicles which have a fuel tank and battery. This will still require the fuel capacity to be entered. This applies to battery only vehicles.
Improved Efficiency for Pass-Through jobs:
To improve efficiency for processing pass-through jobs, we moved the checkbox for “NMEDA QAP label installed” out of Label Guideline Section 3 of the Final Inspection tab and placed it as a stand-alone checkbox at the bottom of the checklist just above the final certification. This should help you process your pass-through jobs faster.
