QAP LABEL REASSIGNMENT CAUTION

This bulletin applies to multi-location dealers who transfer/move QAP labels from one location to another

NMEDA has received several calls in from dealers who say they are not able to use a QAP label when they assign it to a job. Most of the time the reason for that is because the label does not appear in that location’s inventory. And most of the time we find out that the label in question is one that was transferred from another location.

Here is the reason for that:

In March of 2026 NMEDA changed the way QAP Labels are assigned in QAPx and Docutrack. Where it had been up to the dealer to enter labels into inventory, that feature is turned off and NMEDA is populating the locations label inventory at the point of purchase. That means when an order is placed for QAP labels, they will only be assigned to the location making the request. If one (or more) of these labels are later moved from the ordering location to another location, they will not appear in the moved to locations inventory and there will be an error when assigning the label.

Use one of the following to resolve the issue:

  1. Let NMEDA know when you’re ordering QAP labels what locations they are for. For example, if your location orders all labels for all locations, you can make a list or just tell NMEDA when your order 50 is for location A, and 100 is for location B and so on.
  2. For transferring labels to different locations, please email info@nmeda.org with the following information:
    • Which location you are transferring them out of and into.
    • Which label numbers you are transferring.

Doing this will ensure that when the label is used there are no errors and the job can be processed without delay.

If you do find you receive an error when trying to use a label, contact the NMEDA office for resolution. We will investigate the cause and help get the label in question reassigned.
